Most CRMs are built around a sales pipeline that ends when the customer pays. A CCTV business does not work like that. The install is the beginning: there is a site survey before it, and an AMC renewal a year after it, and the renewal is where the margin is.
This is what to look for in software if you sell, install and maintain security systems — and where generic CRMs let you down.
The lifecycle a generic CRM does not know about
- Enquiry. From IndiaMART, JustDial, a WhatsApp forward, a hoarding, or a referral from an existing customer.
- Site survey. Somebody has to go and look. How many cameras, what cabling run, is there a DVR cupboard, is there power.
- Quotation. Itemised: cameras, DVR, hard disk, cable, power supply, mounting, labour. With GST.
- Negotiation and the wait. The most common place for the job to go quiet.
- Installation. Scheduled, assigned to a fitter, with the site details he needs on his own phone.
- Handover and warranty. Serial numbers recorded, because in eight months somebody will ask.
- AMC renewal. Eleven months later. This is the step that pays for the year, and the step nobody has a system for.
A generic CRM handles steps one to four and then considers the job finished. Steps five to seven are where a security business actually makes its money.
Four things worth more to you than to most businesses
Quotations with line items and GST, sent on WhatsApp
Your quotes are itemised and your customers read on WhatsApp. If producing a quotation means opening a laptop and a separate app, it will happen the next morning instead of while you are still standing at the site — and by the next morning somebody else has quoted.
The fastest quotation usually wins, and not because it is the cheapest. It wins because it arrived while the customer still cared.
The survey and the quote attached to the same lead
Camera count, cable run, floor plan photographs, the special request about the gate. When the customer rings three weeks later asking to change the number of cameras, whoever answers should not have to ring the surveyor to find out what was agreed.
A renewal date you did not have to remember
An AMC signed in March is worth nothing if nobody contacts the customer the following February. This is the single highest-value thing software does for a security business, and it needs nothing clever — a date, and something that tells you when it arrives.
Field screens a fitter will actually open
Today’s jobs, the address, the contact number, what was sold, and a way to mark it done with a photograph. On his phone, on mobile data, without training. If it takes more than a few taps, he will ring the office instead and you are back to where you started.
The lead sources that matter in this trade
Security work comes from a narrow set of places, and most of them cost money:
