Enkay CRM for CCTV and security dealers

A CCTV job has five parts: the enquiry, the survey, the quotation, the installation and the AMC. Here is how each one runs inside Enkay CRM, which pipeline stages you will actually use, and what you will still do outside it.

Take a dealer in Nashik who sells and installs cameras for shops, housing societies and small factories. On a normal Monday there are three new IndiaMART buy-leads, a JustDial call from a clinic, two WhatsApp forwards from an electrician who refers work, and a society secretary asking why the camera on the gate went dark. Four different kinds of work, and all of them need to be written down somewhere other than the owner's head.

1. The enquiry

IndiaMART and JustDial enquiries arrive as leads on their own once you connect them under Settings → Integrations. The website enquiry form does the same. The electrician's WhatsApp forward and the clinic's phone call you add by hand: phone number, then anything else you know.

Two fields do most of the work for a CCTV dealer. Requirement is where "8 cameras, shop plus godown, wants night vision and mobile view" goes, in the customer's own words. Value is your rough rupee guess — ₹45,000 for an 8-camera analogue job, say — which is enough to sort the pipeline by what matters.

Buy-leads have a habit of arriving twice. The same enquiry delivered twice is ignored, and the same number enquiring again within 24 hours becomes a note on the lead you already have, so nobody calls the clinic twice in one afternoon. See lead management for how the duplicate check works.

2. The site survey

Nobody quotes a CCTV job over the phone and gets it right. Somebody has to walk the site, count the blind spots, find where the DVR will live and check whether there is a power point near it.

In Enkay CRM, move the lead to Site visit and create a site survey job against it. A job carries a checklist and photos. A useful survey checklist for this trade:

  • Camera positions counted, indoor and outdoor marked separately
  • Cable route and approximate length
  • DVR or NVR location, with power and ventilation
  • Internet available for mobile viewing
  • Ladder or scaffolding needed for high points

Photos of the gate, the rack cupboard and the ceiling height do more than any sketch. When the customer rings three weeks later to add two cameras, the person who answers opens the lead and sees the survey without ringing the surveyor.

3. The quotation

This is where most CCTV jobs are won or lost, and speed matters more than polish. A GST quotation in Enkay CRM is built from line items — cameras, DVR, hard disk, cable, SMPS, connectors, labour — with a discount if you give one. Keep your usual cameras and DVRs as products and the quotation becomes a matter of picking items and changing quantities.

Send it on WhatsApp with the message already written. The customer gets a share link that opens on their phone, where they can accept or decline online. Two things then happen without anyone remembering to do them:

  • When the customer opens the quotation, Enkay CRM creates a follow-up task. That is the moment to ring.
  • When a sent quotation is about to lapse, another task appears, so an unanswered quote gets one last call instead of silence.

If the society committee wants four cameras instead of six, make a revision rather than a fresh quotation; the history stays on the lead. What makes a quotation get accepted is worth reading before you design your template.

4. The installation

Once accepted, convert the lead into a customer — name, phone, GSTIN if they have one, address and city — and create an installation job. Assign it to a fitter. With the Field staff role he sees his own work, not your whole lead list.

On site he ticks the checklist (cameras mounted, cabling dressed, hard disk formatted, mobile app configured on the customer's phone, password handed over) and adds photos, including one of the DVR label. The job report can then be sent to the customer on WhatsApp as proof of handover.

Make the GST invoice from the accepted quotation. It carries a UPI payment link, and you record payments as they arrive, so the 30% balance that is "coming next week" shows up in the money-owed report instead of being forgotten.

5. The AMC, and the second year

A CCTV install is often worth less than the three years of maintenance that can follow it. Create an AMC contract on the customer. Enkay CRM schedules the visits across the contract period and creates a renewal follow-up 30 days before it ends. Record each visit as a maintenance job with its own checklist: lens cleaning, recording check, hard disk health, backup power.

The gate camera that went dark? That is a repair job on the same customer record, next to their original quotation, invoice and AMC — so whoever takes the call knows at once whether the visit is covered.

After a few months, the lost-reasons report tells you whether you are losing on price or on speed. The win-rate-by-source report tells you whether the IndiaMART subscription is paying for itself. Both are on the reports page.

What Enkay CRM does not do for CCTV dealers

  • No remote monitoring or device integration. It does not talk to DVRs, NVRs or camera apps, and will not alert you when a camera goes offline.
  • No serial-number or warranty register. Keep serial numbers in the job's photos and checklist; there is no field that tracks warranty expiry per device.
  • No reminders outside the app. AMC renewals and follow-ups appear on the Today screen and dashboard, not as SMS or WhatsApp messages.
  • No offline mode. Fitters need a data connection to update a job.
  • No automatic capture of WhatsApp messages or calls. Those leads are added by hand, which takes a few seconds.

Frequently asked questions

Can my fitters use Enkay CRM on their phones?

Yes. Enkay CRM runs in the phone’s browser with a phone layout, and can be added to the home screen. Give fitters the Field staff role. There is no native app and no offline mode, so a basement with no signal means updating the job once they are back upstairs.

Does Enkay CRM remind me when an AMC is due for renewal?

Yes. An AMC contract schedules its visits automatically and creates a renewal follow-up 30 days before it ends. The reminder appears on the Today screen and the dashboard inside the app. It is not sent by SMS, email or WhatsApp.

Can I keep cameras, DVRs and hard disks as products?

Yes. Products and stock are part of the Business plan, so a quotation can be built from your own list of cameras, DVRs, NVRs, hard disks, cable and labour lines rather than typed fresh each time.

Will IndiaMART and JustDial enquiries come in on their own?

Yes. Both push leads straight into Enkay CRM once connected under Settings → Integrations. JustDial’s side has to be switched on by JustDial’s team. Phone and WhatsApp enquiries are added by hand; only the phone number is required.
