Enkay CRM for interior designers and modular kitchen firms

Interior projects are won over weeks of measurements, design meetings and quotation revisions. Enkay CRM keeps each client's versions, meetings and next step on one record, so the project that is almost booked does not slip away.

A modular kitchen studio in Coimbatore gets a call from a couple who have just taken possession of a 3BHK. They want a kitchen, two wardrobes and "maybe the TV unit". Over the next six weeks there will be a site measurement, three meetings at the studio, a visit to see a finished kitchen, four quotation versions and a long discussion about hinges. Then, if all goes well, a booking advance.

At no point in those six weeks is the lead "new" or "closed". It is always somewhere in the middle, and the question on the owner's mind is always the same: which version did we last send, and who is supposed to call them? The enquiry: capture the scope, not just the number

Interior enquiries come from Instagram, walk-ins, JustDial, your website, builder tie-ups and a lot of referrals. Website and JustDial leads arrive on their own; the others you add by hand. Instagram and Facebook lead ads are not connected yet, so pick "Facebook & Instagram" as the source when you type one in — that way the source report still counts them.

In the requirement field, write the scope as the client described it: "3BHK, L-shaped kitchen, 2 wardrobes, TV unit maybe, possession done, budget around ₹6 lakh". Put your own estimate in the value field. Budgets for interiors move a lot between first call and booking, and it is useful later to see how far.

Site measurement

Move the lead to Site visit and create a site survey job for the person who measures. The checklist is the one your team already carries in their heads, written down:

  • Wall-to-wall measurements, ceiling height, window and door positions
  • Plumbing and gas points, electrical points and switchboards
  • Beam and column positions; any wall that is not straight
  • Flooring done or pending; false ceiling planned or not

Photos of each wall go on the job. When the designer sits down to draw, the site is in front of them, and when the client later claims the window is somewhere else, the photo settles it.

Design meetings

This is the stage most CRMs have no word for. Keep the lead in Qualified or Quotation, and treat each meeting as a follow-up: the next follow-up date is the next meeting, and the follow-up note says what it is for — "show two layout options", "finalise shutter finish", "bring wife's mother, who cooks". After each meeting, write what was decided in the lead's notes. The activity timeline then reads like a project diary.

For studios with more than one designer, assign the lead to the designer handling it. With the right role settings, each designer sees their own clients and unassigned leads, while the owner sees everything.

Quotations and the revisions that never end

Interior quotations are long and itemised: carcass, shutters, hardware, countertop, appliances if you supply them, installation, with GST. In Enkay CRM, a quotation is built from line items, with an optional discount, and every change is a revision rather than a new document. After the fourth round, you can still see what version two said about soft-close hinges.

Send each version on WhatsApp through the share link. The client can open it on their phone and accept or decline online. Enkay CRM creates a follow-up task when they open it, which in this trade usually means they are discussing it at home that evening, and another when the quotation is about to lapse — useful when you have quoted a price valid for 15 days and a material price rise is coming.

Booking advance

When the client says yes, move the lead to Won, convert them into a customer with their address and GSTIN if it is a commercial project, and raise a GST invoice from the accepted quotation. Record the booking advance as a payment against it. The invoice carries a UPI payment link, so the advance can be paid the same evening. Receipts are recorded in Enkay CRM too.

For projects paid in stages — advance, on delivery of carcass, on completion — record each payment as it comes. The money-owed-by-age report shows every project with a balance outstanding.

Execution

Create an installation job and assign it to your site supervisor. A checklist per room works well: "kitchen carcass fixed", "countertop installed", "shutters aligned", "handover walkthrough done". Progress photos go on the job, and the job report can be sent to the client on WhatsApp, which saves a lot of "any update?" calls.

After handover, a repair job handles the drawer that sticks in the first month. Tag the customer (say "3BHK", "referral-source") so you know who to ask for a reference later.

Stages are fixed and do not need to be followed strictly in order — a client who comes to the studio before any site visit can stay in Qualified until measurement is done. The sales pipeline page explains the board view.

What Enkay CRM does not do for interior firms

  • No design or rendering tools, and no gallery of past projects to show clients.
  • No project scheduling across trades (carpenter, electrician, painter) with Gantt charts or dependencies. Jobs and tasks cover simple execution; complex site coordination needs something else.
  • No vendor purchase orders or material tracking against a project.
  • No automatic capture of Instagram enquiries yet; add them by hand.
  • No reminders outside the app; follow-ups appear on the Today screen and dashboard.

Frequently asked questions

Can I keep every version of a quotation?

Yes. Quotations in Enkay CRM support revisions, so the version with the acrylic shutters and the version with laminate both stay on the lead, and you can see what each one said.

Can I store design drawings or 3D renders in Enkay CRM?

Not as a design library. Jobs can hold photos, which works for site measurements and progress pictures, but there is no place for CAD files or render galleries. Keep those in your design software or shared drive.

How do I record a booking advance?

Raise a GST invoice from the accepted quotation and record the advance as a payment against it. The balance stays visible in the money-owed report until it is paid. Each invoice carries a UPI payment link.

Can my site supervisors use it?

Yes, in their phone’s browser. Give them the Field staff role and assign them execution jobs with checklists and photos. There is no offline mode.

Does Enkay CRM manage material orders from vendors?

No. There is no purchase order or vendor module. Products and stock exist for what you sell, but ordering from your plywood or hardware supplier stays outside Enkay CRM.
