Custom CRM development, built around how your business actually works

When a spreadsheet has stopped coping and the ready-made CRMs you have tried do not match your process, Enkay Technologies builds the one that does. Written scope, a fixed price before any code is written, and the source code is yours at the end.

Custom CRM development means building a customer and sales system for your business alone: your stages, your fields, your documents, your rules about who sees what. Enkay Technologies builds them for businesses that win work through enquiries and then have to deliver it — dealers, installers, service companies, manufacturers, agencies.

We also sell a ready-made CRM, Enkay CRM. So we have no reason to talk you into a build you do not need. If your work is leads, follow-ups, quotations and invoices, start with a product. If it is not, read on.

When a custom CRM is worth building

A custom CRM pays for itself in one situation: a specific part of your process costs you hours or money every week, and no product you have tried handles it without your staff working around it. These are the patterns we see most often:

  • The job does not end at the sale. After the order there is a site survey, a dispatch, an installation, a service visit, a warranty claim. Sales CRMs stop at "Won"; your problems start there.
  • Your quotation is not a simple list. Prices depend on size, material, distance or a rate card, and a person spends twenty minutes building each quote in Excel.
  • Several businesses or branches share one customer list, with rules about which branch owns which customer.
  • You have dealers, distributors or franchisees who need their own login, their own leads, and nothing else.
  • The same record is typed into four tools: a portal, a spreadsheet, the accounting software and a WhatsApp group.
  • You bought a CRM and nobody uses it, because it asks staff to work in a way they do not.

If none of these sounds like you, our honest advice is in buy or build: when off-the-shelf is the right answer.

What we build into a custom CRM

Every system is different, but most are made from the same parts, sized to your business.

PartWhat it usually covers
Lead captureEnquiries from IndiaMART, JustDial, Meta lead ads, your website form and WhatsApp landing in one list, with duplicates caught
Follow-ups and pipelineYour own stages, a next date on every open lead, and a daily list for each salesperson
Quotations and ordersYour pricing rules, GST, revisions, approval limits, and a share link or PDF the customer can accept
Jobs and field workSurveys, installations, service visits and AMC schedules, with checklists, photos and sign-off from the phone
BillingGST invoices, payments against invoices, outstanding by age, and exports for your accountant or Tally
Roles and permissionsStaff see only their own work; managers see their team; the owner sees everything
ReportsThe numbers you currently ask three people for, on one screen, and a daily summary by email or WhatsApp

The first version holds the smallest set of these that fixes the problem you came with. The rest is added once your staff are using it, when you know what they actually need instead of what everyone guessed in a meeting.

How a custom CRM project runs

  1. Scoping call (free). 30 to 45 minutes on how work moves through your business today and where it goes wrong. Bring a sample quotation, a job sheet and the spreadsheet you use.
  2. Written scope and fixed quote (2 to 3 days). Every screen, field, rule and report in plain language, with a price and a dated plan.
  3. Design you approve. You see the real screens before they are built and change them while that is cheap.
  4. Build in two-week sprints. At the end of each you get a working link, not a status report.
  5. Your team tests it on real work. For about a week. We fix what they trip over and train them, in Hindi, Marathi or English.
  6. Launch and handover. Data moved across, code and accounts transferred to you, and 30 days of free fixes.

A working first version usually takes 6 to 10 weeks from the agreed scope. The price does not move unless you change the scope; if we underestimated something that was in it, that is our cost.

What a custom CRM costs

Our quotes for a working first version start at about ₹1,50,000, before GST. Projects are paid in stages tied to delivery, not to dates. After launch, a care plan with hosting, backups, security updates and small changes starts at ₹5,000 a month, and you are never obliged to take it.

What moves the number up: more kinds of users (staff, dealers, customers), more integrations, more documents the system must produce, and a native app in the stores rather than a web app that works on a phone. What custom software actually costs walks through each of these.

Compare three years, not the first invoice

A ready-made CRM is a monthly fee for as long as you use it. A custom CRM is a larger first payment plus upkeep. Put both side by side over three years, with your real number of users, before deciding.

What you get at the end

  • The source code and the repository, with copyright assigned to you in writing.
  • Every account created for the project — server, domain, email sending, WhatsApp, app store — in your name.
  • Setup notes and a handover call, so another developer could carry on without starting again.
  • Your data, exportable at any time, never reused or shown to anyone without asking.

What we build with

Laravel and PHP 8 on the server, MySQL or PostgreSQL for data, Blade or React for screens, Flutter or React Native when you need an app. All widely used and hireable for in any city, so you are not tied to us. We have already wired up the WhatsApp Business API, IndiaMART, JustDial, Meta lead ads, Razorpay, PhonePe, Tally, GST e-invoice, Google Maps and SMS gateways.

Our own CRM is the portfolio

Enkay CRM, our product, is a working example of this kind of system: enquiries from several sources in one follow-up list, GST quotations with a share link, invoices, jobs with checklists and photos, roles and permissions, and a phone layout for field staff. We built it for ourselves first and run it in production. If something close to it would do, it may be cheaper to start there; if you need it bent to your process, that is what this service is for.

Frequently asked questions

How much does custom CRM development cost?

Our written quotes for a working first version of a custom CRM start at about ₹1,50,000 before GST. The number goes up with the kinds of users, the integrations, the number of documents the system has to produce, and whether you need an app in the Play Store and App Store. Hosting and upkeep on a care plan start at ₹5,000 a month. Every project is quoted in writing after a free scoping call.

How long does it take to build a custom CRM?

A working first version is usually ready in 6 to 10 weeks from the day the written scope is agreed. You get a dated plan with the quote and a working link every two weeks, so you see the system grow rather than hearing about it.

Do I own the source code?

Yes. On final payment the repository, the source code and every account created for the project are transferred to you, and the contract assigns the copyright to you in writing. Nothing stops you from moving to another developer later.

Should I build a custom CRM or buy a ready-made one?

Buy first if your work is ordinary: leads, follow-ups, quotations and invoices. Ready-made software is cheaper and already tested. Build when a specific part of your process costs you time or money every week and no product handles it, or when you have tried two products and your staff work around both.

Can you move our data from Excel or our old CRM?

Yes. Moving your customers, open leads, products and past invoices is part of the scope. We clean and de-duplicate the data first, import it into a test copy for your team to check, and only then move it to the live system.

Can you fix or extend a CRM someone else built?

Usually, yes. We read the code first and tell you in writing what state it is in. Sometimes the right answer is to rebuild the two screens your staff actually use rather than the whole system.
